Summary:

The Human Resources Coordinator plays a key role in delivering consistent, high-quality HR & payroll support to Managers across multiple regions, including the Americas, Caribbean, Europe and the Middle East.  Key responsibilities include providing support in recruitment and onboarding processes, managing employee records, and administering benefits programs.  The role will also involve coordinating training initiatives, preparing HR reports, and specifically reviewing U.S. payroll for accuracy, including participation in audits.  Additionally, the coordinator will perform general administrative tasks to ensure HR operations run smoothly across all regions.

Essential Duties and Responsibilities include the following (other duties may be assigned):

  • Oversee the review and approval of all U.S. payroll on a bi-weekly basis, ensuring accurate preparation and allocation, and subsequently distributing payroll information to the finance team. Provide payroll support to other global locations as required.
  • Assist with the employee benefits programs in the U.S. and U.S. Virgin Islands by responding to inquiries, tracking eligibility, managing COBRA enrollment, processing enrollment changes, auditing payroll deductions, and assisting employees with enrolment and claims processes. Provide employee benefits and administration support to other global locations as required.
  • Conduct quarterly audits of the U.S. Virgin Island payrolls to ensure compliance and accuracy.
  • Support end-to-end recruitment activities by posting job openings, screening resumes, scheduling interviews and acknowledging receipt of applications to candidates, along with managing receipt and tracking of all speculative applications.
  • Enhance the onboarding experience for new employees by distributing and tracking the completion of the new IGY onboarding course.
  • Maintain accurate and up to date employee records across regions including tracking probation periods, contract renewals, leave and absence and key employment dates ensuring compliance with privacy and data protections regulations.
  • Provide support for compliance efforts by tracking completion of required training and assisting employees with system access issues.
  • Coordinate HR policy updates and employee acknowledgements
  • Support annual performance review processes by coordinating documentation and tracking completion.
  • Maintain global workforce tracking by maintaining census spreadsheets, tracking status changes, terminations and new hires across all locations.
  • Assist with Internal Audits by providing the necessary documentation for all status changes, recruitment requests and terminations.
  • Record and post financial transactions in Company accounting system on a weekly basis.
  • Ensure that OSHA records are meticulously maintained and that logs are appropriately posted in accordance with regulatory requirements.
  • Manage various administrative tasks, including the preparation of background reports, offer letters, employment agreements and job descriptions to support the HR functions effectively.
  • Perform additional administrative and HR support duties as assigned to meet evolving business needs.

Education/Experience:

Degree in Human Resources, Business Administration or a related subject is preferred.  An equivalent combination of education and experience will also be considered.

Required Skills:

  • Must be highly proficient in Microsoft Office applications including Excel, Word and PowerPoint.
  • Experience using an HRIS system would be preferred, familiarity with UKG is beneficial
  • Must have strong organizational skills and attention to detail
  • Ability to handle sensitive and confidential information with discretion and professionalism

About the POSITION:

Summary:

As the first point of contact for our guests, the Dockhand at IGY Savannah Harbor Marina sets the tone for an exceptional experience. We are seeking an enthusiastic, dynamic, and engaging individual to welcome guests with warmth, professionalism, and a can-do attitude. The Dockhand plays a vital role in providing superior service, ensuring safe and efficient dock operations, and embodying our commitment to excellence.

Essential Duties and Responsibilities include the following (other duties may be assigned):

  • Provide a warm, enthusiastic welcome to guests upon arrival and assist with docking, undocking, and securing vessels.
  • Assist vessels in mooring operations, securing vessels to docks, connecting and monitoring utility services (telephone, power, and water), performing pump outs, waste disposal and facility sanitation.
  • Participate in fuel operations, ensuring compliance with safety protocols
  • Escort guest around the marina using company vehicles or golf carts
  • Maintain cleanliness and upkeep of marina docks and marina facilities
  • Expedites all requests from vessels including escorting incoming marina guests to/from yachts, assisting with luggage, and offering information pertaining to available services and facilities of marina (provisioning, laundry, luggage transport, etc.).
  • Responsible for keeping company vehicles, tenders, and golf carts clean, charged, and maintained where applicable.
  • Ensures that recognized standards are maintained, and that quality and delivery commitments are met.
  • Adheres to and upholds all marina health and life-safety protocols and actively participates in all related training exercises and drills.
  • Provides general security and supports marina and facility security teams in their security related efforts; reports disturbances in dock area to superiors and maintains general vigilance.
  • Maintains VHF radio and in-person communication with vessels, marina office and marina management.
  • Delivers messages, mail, and packages to yachts as directed by Guest Services desk.
  • Assists Marina Management team and Dockhand Supervisor in carrying out various reports and data analysis such as meter reads, vessel occupancy, inventory, dock walks, etc.
  • Makes arrangements at guests’ requests, such as picking up articles for laundry and/or valet service, arranging transportation and submitting, delivering, and loading provisioning orders.
